Draft Minutes (February 27, 2009)

Family Fun Day Minutes
February 27, 2009

Attendance – Gene Wiseman, Mike McGovern, Frank Butterworth, Ike Johnson
and Rose Kennealy
Mike McGovern met with us – He confirmed that the $7500 in the current year budget was safe.  He also stated that we could split the budget for both 2009 and 2010.
Mike also offered to have the town pick up the mailing and printing costs.

He also confirmed w/ town departments that they had budgeted for their expenses for Family Fun Day in their 2009 and 2010 budgets.

Parade -
After some discussion, we decided to keep the parade start time at 10:30.

Frank agreed to contact the military, arrange for ribbons for the antique cars and David Barber.

Steve will contact Car clubs, Crackers.

Gene will contact some muscle car owners.

The Steel Drum Band has agreed to perform in the parade if we can find a flat-bed trailer for them to ride in.  Frank said he would contact David Jones to see if he has one he would provide.

Mike McGovern suggested we try to get some alternative energy cars in the parade.  He suggested contacting Steve Linnell at COG 774-9891.

Cape Elizabeth Farm Alliance- The committee thought the Cape Elizabeth Farm Alliance would be a wonderful addition to the parade and other of the day’s events.  Steve agreed to contact Penny Jordan to see if she would attend the next meeting.  Ideas included a float in the parade, an informational table, a table selling strawberries or Lobsters.
Events -
The committee approved the letter Frank had drafted to solicit all the Cape Elizabeth Charitable groups.  Mike suggested that the list of contacts could be found at Community Service.

Once we have received the responses from Frank’s letters, we will look for gaps in the food offerings and contact potential commercial providers.  It was decided that this year we would ask commercial vendors to donate a percentage of their proceeds to a local charity or Cape Elizabeth Family Fun Day.  Once we see how successful the vendors are, we will consider charging up front money in future years.

Caldwell Banker – It was decided to maintain our ban on raffles even though the Caldwell Banker offer of raffling a doll house was very interesting.  Gene will contact Caldwell Banker and let them know of our decision.

Climbing wall- It was agreed to fund the climbing wall again this year.  It was suggested that this year we should partner with a group whose members might be better suited to assisting the climbers in and out of their harnesses.  The football boosters were suggested.  Steve will contact the climbing wall and the Football boosters.

ReMax- The tethered balloon ride was approved for the morning.

Clean up –
It was pointed out that Graduation is the day after Family Fun Day, so all trailers and equipment must be out before the park closes that night.

Arts and Crafts –
We agreed that all products offered in the arts and crafts section must be made by the exhibitor.  Any commercial vendors would be asked to contribute a % of sales to a local charity.

Tent –
Frank will contact the Boy scouts about their tent.

Talent Show –

Pictures –
Frank suggested that we should try to get pictures of family fun day on the town website. Steve said he had some.  Mike cautioned that photos of children could only be used if they were not identifiable.  Pictures should be submitted to the town’s webmaster.

The next meeting was scheduled for March 24, 2009.
